What is CAMS by Stacia?
CAMS by Stacia is a community association management company serving HOAs and condominiums in Florida. We provide professional support for boards, handle day-to-day operations, and ensure compliance with Florida statutes and your governing documents.
Who do I contact if I have a question about my account or the community?

Homeowners & Residents
How do I pay my assessments/dues?
Payments can be made by check, ACH (automatic bank draft), or through our online payment portal. Instructions are available on your welcome packet and in the owners portal.
Who do I contact for maintenance issues?
To report maintenance issues, please submit a request through the management office so we can dispatch the appropriate vendor.
Where can I find community rules and documents?
Governing documents, rules, budgets, and meeting notices are available on the community’s website portal. If you need login instructions, please refer to the instructions on this site. .
Can I make changes to my property? (painting, fencing, landscaping, etc.)
Most exterior modifications require Architectural Review Committee (ARC) approval. Submit an application form to CAMS by Stacia before starting any project.
Board Members
What services do you provide to the Board?
We handle financial reporting, budget preparation, board meeting notices, recordkeeping, vendor coordination, compliance enforcement, and statutory compliance—including reserves, audits, and SIRS reports where required.
How do you help with board meetings?
We prepare and distribute notices, agendas, and meeting materials, attend meetings as needed, take minutes, and ensure legal requirements are followed.
Do you assist with elections?
Yes. We guide boards through the election process, including preparing proxies, ballots, and ensuring compliance with Florida HOA/condo election laws.
Compliance & Legal Requirements
What laws govern HOAs and condos in Florida?
Condominium associations are governed by Florida Statute Chapter 718, while HOAs are governed by Chapter 720. CAMS by Stacia ensures your community remains in compliance with these statutes and your governing documents.
Does the association have to conduct an audit or financial review?
Florida law requires certain financial reporting (audit, review, or compilation) based on annual revenues. CAMS by Stacia will advise your board on the specific requirement for your association each year.
Communication & Emergencies
How does CAMS by Stacia communicate with residents?
We use email notices, community websites/portals, and mailed letters for official communications. Emergency updates are provided as quickly as possible through multiple channels.
What do I do in case of an emergency (fire, flood, etc.)?
Always call 911 for life-threatening emergencies. For urgent community issues (burst pipe in common areas, major storm damage, etc.), contact CAMS by Stacia’s emergency line at [insert number].
Community Sale and Lease Applications
Do I need to have applicants apply to purchase a home or condo?
Yes. Most associations require a completed application package before closing to ensure compliance with community rules and regulations.
Do I need to have applicants apply to lease or rent my unit?
Yes. Tenants must be approved by the association before moving in. This process protects community standards and ensures all residents meet eligibility requirements.
Where can I get an application?
Applications are available on our website, by email request, or at our office.
What documents are required with the application?
Generally, applications must include:
- Completed and signed application form
- Copy of driver’s license or government-issued ID for each adult occupant
- Signed lease or purchase contract
- Background/credit check authorization form
- Applicable fees (check or money order only – no cash accepted)
What are the application fees?
A: Fees vary by association but may include:
- Processing fee $50.00
- Background/credit check fee * Depends on the Community. See Community Application for Fees.
How long does the approval process take?
Typically, 10–30 days after a complete application is received. Incomplete or missing documents will delay processing.
Who makes the approval decision?
The Board of Directors or an appointed committee reviews and decides on applications. The management company only processes paperwork and does not decide approvals.
Can I move in before receiving written approval?
No. Occupancy prior to approval is prohibited and may result in fines or cancellation of the lease.
Are application fees refundable if I am denied?
No. Processing and background check fees are non-refundable.
How do I submit my complete application?
You may submit:
- By email (PDF format only; no photos/screenshots)
- By mail to our office
- In person during office hours Monday through Friday between 9:00 AM and 4:00 PM.
Who should the application fee checks be made payable too?
Unless otherwise noted, fees should be made payable to the Association, not the management company. The processing fee of $50.00 should be made out to the management company CAMS by Stacia.
How will I be notified of approval or denial?
You will receive written confirmation by email once the Board makes its decision.
Can I request expedited processing?
Rush requests are not available. Please apply well in advance of your closing or lease start date.
How do I request an estoppel or questionnaire and what are the fees?
The estoppel or questionnaire form and payment must be mailed to the CAMS office address. All payments and documents must be mailed together. The fee is collected upfront, and CAMS does not wait for closing.
Estoppel Fees: 10 Day (Business Days) $299.00 3 Day Rush (Business Days) $418.00
Questionnaire Fees: 10 Day (Business Days) $325.00 3 Day Rush (Business Days) $400.00If applicable, a $179 Delinquent Fee MUST be added.
How do I make the payment for an estoppel or questionnaire?
All payments and documents must be mailed together. Once the form and payment are received, CAMS will process your request. WE CAN ONLY ACCEPT CHECK OR MONEY ORDER Make Check Payable to: Cams by Stacia.
